We want to take a minute and actually understand what one note is. I call one note, the most unknown application and the Microsoft desktop apps. One note is actually part of the Microsoft desktop suite. So we're talking outlook, Excel, PowerPoint, and word. Well, one note is part of that group and it is an amazing application..
It's really made to be a note taking program with free form information gathering. And it's also set up to be multi-user collaboration tool. It allows you to take notes, drawing, screen clippings, and even audio commentaries and put them together and then search like crazy inside of it because the search tools in window are so powerful. Now, one note is not new. It has been around for quite a long time, and a lot of people get addicted to it, but sometimes people don't really understand what it's for. Now. It's not a word processor..
One note features are virtually Unbound document windows. So you can really put stuff anywhere. It's like a limited. Not paper-based notebook and that's really what makes it so powerful. Let's take a minute and explore the interface. One note is still built on the same interface as the other desktop or natively installed Microsoft office applications. You'll see right here that just like the other office apps, it uses ribbons. So I have a file ribbon that will take me to the backstage view. That includes again, a vertical list of the major functionalities of the application, like printing and even sending notebooks.
To share them with coworkers. You also have the back button in the top left hand corner that will allow you to get out of that backstage view. Then of course, we have our home ribbon, which is kind of Homebase or the most used buttons are located. And then additional ribbons, like the insert event to allow you to bring in content. This is my personal favorite, the dry ribbon, where you can actually write notes or draw things and history Roman, to help you see who's been in your notebook, a review ribbon with good old spellcheck that the SSRIs and other tools that you were meant to adjust your view. And of course the help now, all of these tools are made to help you.
Work within your OneNote window. Now, another thing that's unique is down here, you actually have a window navigation pane that allows you to open up and skip between different notebooks, but really down here in the middle, we're going to see the different pages and sections of our notebook. And we'll talk about these later on, as we explore one note more so. Hi, everyone. Welcome back. We want to now take a little bit of time and explore the anatomy of a OneNote notebook, and also how you can customize the one note interface a little bit. When it comes to customizing, we still have some good old Microsoft.
It's like your sticky note pad to jump back to the notebook. I was just in, I'm going to click right here and select the notebook. I want to open up and notice it takes me to that notebook. Now what's unique about this open notebooks pain is that you can actually pin it. So if you click on it, it just opens so that you can look at it. And then of course, if you click away from it, it closes. But if I click on it again, I can actually come right here to the top right hand, corner and pin this pain so that it stays open over here on the left. And then notice in the bottom left hand corner, I can access those quick notes again. Now, by having it here, it's much easier for me to jump between.
Different notebooks that I have open. If I decide I want to close it, I can go up to the. Click on it and it closes it now to the right. We are seeing how notebooks are made. They're made of sections. And I love to explain this by telling people about trapper keepers. When I was in school, I had trapper keeper, which was made up of sections. And in those sections, I would have pages. Well, one note notebooks are really divided in this same way. You have different sections here at the top, a lot like worksheets in a workbook. And then you have pages to name a section. You just double click on it and you can come in and you can type in the section.
Name to add an additional section. You'd come to this little plus sign double-click again. And you can add as many sections in, again, one notebook as you want. And when it comes to the pages in a second. You click on that particular section and then the pages show up when that section is clicked on. I noticed I can switch between different sections to add a page to my section. It's going to be managed over here on the right, right now, both my sections have untitled pages when I'm ready to actually give them a title..
I'm going to click where I see this date and time, which you can turn off by the way. And I'm going to go ahead and type in the name of my new page. As I do this, it gets added over here in the page pain. So when I'm ready to add the additional page, I can come in type the new page and I'll see it get added. And then when I'm ready to skip to the other section and add pages, I click on that section and I can do the same thing, type a title for the page, and then come in and I can add a new page right here in the top, right? And this is how I can organize my sections and my pages by clicking on the section and then going to the individual page that I want to open. It's a great way to quickly jump between different pieces of information..
Hey, welcome back. We want to create our own window notebook. Now for this, you just need to have one note open and as always try this out on your own. So once you get into one note, the steps to create a notebook are a lot like creating a new word document or an Excel spreadsheet. You're going to come up to the file ribbon tab, and this will take us into that backstage view. And of course, right underneath the info vertically on the left-hand side, we're going to see the new option. Now what's different about one note notebooks is you actually.
Save them as you're creating them. So I want to save mine to my one drive. I'm going to click right here, browse.
And of course it will let me save my notebook in a folder. This will create my new notebook and I'm saving it in my one drive. Now what's interesting is if I especially saved my notebook to cloud storage, that could be one drive or SharePoint online. You're going to see here this RD trying to invite me to share it with people. I can do this later on. So I'm going to say not now. And it takes me into my new notebook. And what else see here is that it tells me that I'm in the course.Reports notebook, but it doesn't put it up here in the title bar. It puts it down here in my notebooks cane so that I can of course know that the notebook is open. And of course it gives me a new section and a new blank page. Now, when I'm ready to love start actually creating pages, I'm going to type in the name of the, of the particular page I want. I'm going to come in and type the name of this. And of course, for the section, I'm going to go ahead and type in the section title by double clicking on it. And you'll notice here I have a new page. I can see it's been named and added to my page list over here on the..
And then I have a new section at the top. And as I do things, everything's going to save automatically back to my one drive because it's cloud storage. So working in notebooks is a little bit different because you create basically the container for your notebook, and then you start adding content inside of it. And that's going to be sections and pages. So try it out on your own. Open up one note, create a new notebook, call it whatever you want, save it, where you want, and then add a new page and a new section to that notebook..
Hey everybody. Welcome back to our window course. I'm ready to create some new pages in my notebook. And usually these pages when I create them are blank. For example, if I go to the top right-hand corner to my patient navigation pane, I've got the add page button. I get a new blank page. And of course, as soon as I type in my page title, that is what actually will. Type in the name of my page over here. But what if I would like to create, for example, a page about minutes for a meeting, common things that we take notes for, they're actually pre formatted templates that help to create the format of your page, that you don't have to spend.
As much time and work having to do that for those templates, we're going to go actually up to the insert ribbon and on the insert ribbon, we're going to come to the right hand side to the pages group. And on there is a button called page templates. Now, if you click on it, then you have to click on the bottom half again. But if you go to the very top, it automatically opens up. As you can see on the. The templates paint. It'll open up on the right hand side of your page navigation paint from here, you're going to see different categories of types of common templates for pages..
One of my very favorites is the business category. You'll see here that you have notes pages that you can pick from under, for example, the planners category. You're going to have to do lists now for me, I'd like to create a simple meeting notes page. So that's what I'm going to select. As soon as I do this, it adds a new page. Notice over here asking me for my meeting title. And right here, I can go ahead and type in the title of my new meeting page. And I can either keep that or notice where it says meeting title. It will be replaced as I type over the top..
And then I can, of course edit this title. And as I rename it here, it will rename it as well over in my page, navigation pane. Now, for one of these down here, I can do something, for example, like a simple to do list. And you'll notice that I get a list again, and it's a page navigated so that it has a to-do list in it that I can actually type next to an add new items in, but I don't have to actually create the overall format of the page. So these templates can save you a lot of time. Just remember that when you use the template, a new page will be created and everything is saving as we go. And we want you to try this out. So go into a notebook of your own and add some new pages based on those times..
Welcome back everybody. We're ready to add some formatting to some of our OneNote notebook pages. And right now I have a notebook called course reports open. If you go to the practice files folder, you can also open up this new notebook, but really what we're doing is playing with the formatting. And when it comes to text, you'll see that in a notebook it's very similar to formatting in a word processing program, like Microsoft word. So, first of all, I've opened up one of the sections of my notebook. I'm in the course description section, and I'm looking at some of these pages that I have, and I'd like them to have the same against format..
So one of the things I suggest doing is using the heading styles. These come straight from Microsoft word, you'll see them up on the home ribbon tablets to the basic text format in group. And these are a great way to add consistent formatting across your page. So the first thing I'm going to do is select the course description and I'm going to copy it because I may need to paste it to some of my other pages and I'm going to apply a, heading two to it and notice how it gives it consistent for me. Then I want to go ahead and jump to my other pages and make sure that they also have a course description. If they don't, then I can come in and I'm going to paste it in at the top..
And then I can go ahead and highlight it again and add that same heading style to it. Now, as far as the text underneath, maybe I'd like to apply a consistent font.
So I'm going to come in. I can either left drag or if it's a single paragraph I can double click and then I can come in and of course add an additional style. I'm going to do Ariel to the formatting. Now another tool you have, that's really great for formatting is your format painter. So I have this paragraph selected. I'm going to read, highlight it, and I'm going to come up to my home ribbon tab to the clipboard group and use the format. Painter. If I double click on it, notice it will stay on..This is going to allow me to jump to another page and again, highlight another group of paragraph. Sometimes the highlighting is a little bit slow, but usually it gets the whole thing. And then I can hit escape to turn off my format painter, go up and apply that heading style I want. But between these two tools, the styles and the format painter, I can actually jump to multiple pages in my notebook and make sure that each page as a consistent formatting and these aren't new tools, they're just using tools that we've already used in other word, processing programs like Microsoft word or even PowerPoint, which isn't word processing, but allowing us to use them.
In now a notebook to format the text. And of course the basic text as a great group inside your home ribbon tab for this, and again, go into the notebook and try it formatting some of the texts using styles and also the format painter and the basic text. Hey everybody. Welcome back. I'm ready to add some images to help enhance the pages within my one note notebook. Now there's a lot of great places to get images in this video. I'm going to show you two. The first one is to get an image that already exists on your hard drive or network drive. The second one is to go to an online source..
So the first thing I need to do is come into my page and make sure there's room for my image. I really want my image to go right here between this course description and the title. So I'm going to take the course description text box. Yes, it appears in a text box and I can drag it down and notice how easily it allows me to place that text box down just a little bit. This is another unique feature of one note notebook pages right here, where my cursor's blinking is where I want my image to go. And my image is actually already on my computer's hard drive. So I'm going to travel to my insert ribbon up at the top, come to my images group..
And I'm going to go to pictures. Now, this allows me to navigate to a drive where I have this picture stored. I'm going to select it and then click on insert. Now, once the image is here, I can click on it and you'll see it gets sizing squares on the sides that will allow me to size it. And then I can adjust the other content around it. Now this next image is not on my computer. It's actually online and I'm going to use the Bing image search to look for it. So I'm going to navigate to the page. And then again, same thing, click where I want the image to go. And then I'm going to go back to my insert ribbon tab..
And this time comes online pictures. This is a great way to get images. If you don't actually have one, when it type in the topic that I'm looking for, because this is about that basic math class page that I'm creating. Now, remember with creative commons check. This means you're looking at images that probably are not copyrighted. If I uncheck it, notice I get a lot more options, but use your own best judgment here. Right? I'm going to keep it checked and select one of the images. And then again, it will bring it in. But it's a little bit big, so I'll size it down. And then I can, of course adjust the placement of the text..
That's around it in this case underneath. Now, try this out on your own. There are some images in the practice files folder, go to your own notebook, open up a page and practice bringing some of those images in so you can see how easy. Hey guys, welcome back. I want to show you a way to bring in a screen clipping. This is for anything that you have open on a window of your computer. You're basically taking a picture of it and bringing it into your one note notebook page. It's great for basically taking notes of things that you need to keep track of. In this case, I've gone to a page and put my cursor where I want my screen clipping to go. And I've actually gone to a website that has something in it that I want, and I've.
Actually have it open behind my notebook page to bring in a screen clipping. I'm going to go to my insert admin tab. I'm going to come into screen clipping, and then you'll notice that the page opens up and it grays out my screen. I'm going to go ahead and left drag over the area that I want to. And then it brings it in and drops it into my page. Now I can size it because it's like a normal graphic, but one really interesting thing. That's very useful. That one note does with screen clippings is it will actually show the date and time that the clipping happened is going to be a great way for you to know time-wise.
When you did that flipping the important pre-step is that I opened up the website. I wanted to go to before I went in to do the screen clipping because when you do the screen clipping, you can't actually navigate to it. So I already had it open behind one note and then I went to it. And once I was in one note, it actually allowed me to bring in the part of the, again, in this case, webpage that I wanted to see, that's a great way to record things and take notes of things that maybe you're using in your notebook. So go into one of your notebook pages, find something you want to screen, clip and try it..
Hi, everyone. Welcome back to one note. We want to now look at other types of files that can be contained inside one note notebook. Specifically, we're going to start with sound files and video files. And in this case, the OneNote notebook becomes the container for those files. It's almost a way to keep them organized in any one note notebook that you have. I'd like you to add a new page to contain a sound file and a video file. So I'm going to come over to the right hand side and click on the add page button. Then I'll type a title for it..
You'll let us over here on the right. Is they do that? It makes my new page and my page navigation pane. Now over here, I'm going to start by inserting a sound file. Now this sound file is already saved on my hard drive or network drive. So I'm not creating it. It already. To insert it into my page. I'm going to come up to the insert or I'm in tab. And you'll see that I have a files group. One of the choices is a file attachment, both videos and sound files can be brought into your notebook under this option. So I'm going to select file attachment in our practice files folder..
There's a simple sound file called Greenforce music. It's pretty groovy that you can bring into your one note page. It's a WAV file, which is a very simple type of sound, right. Now when you select the file, it's going to bring up this box, asking you if you want to attach the file to your OneNote page or insert it as a printout. Now, if you do insert as a printout, it's like making a screenshot of the particular file and with a sound file, a screenshot's not very helpful. So we're going to say attached file and I'll see an icon representing my sound file..
Now notice up here that there's a new clay back contextual ribbon that will give me tools to help me play the sound file, and also go into audio and video settings to help me update it's defaults to do a video file. It's basically the same steps I'm going to type in some texts. So I know what's below and remember, I can click anywhere in my one note page to add content then to insert a video file. I may come back up to the insert ribbon tab and return to the file attachment button again. This time, I'm going to find the wildlife, a WMV file. Another common, simple type of video file that's in the practice files folder..
And I'll say insert it's again, going to ask you what type of, again, a file attachment you want to do either an attachment or a printout. I want to attach it again. I'll get an icon representing the file. And with either of these, you can double click on them to make them play. But notice that if you click, for example, on the video file, a simple toolbar appears to help you pause or play the video. And also you have the playback ribbon up at the top that would allow you to go in and do the same thing and also see audio and video settings. And in this case, the page is just a container or a way to organize these files. When it comes to actually playing them, they'll open up and either have.
The video player or the audio player that's defaulted on your device. Hey everybody. Welcome back to one note. I want to show you how you can actually use Microsoft OneNote as the container and the creator of an audio or sound file for this. You can go to any one note, notebook and add a mute page over in your page navigation pane. I'm just going to call this video and sound recording. Now to start creating my recording. I'm going to click down below in my page where I'd like the recording to be placed..
This is where it will be contained. Then I'm going to go up to my insert ribbon tab and come over to the recording group. Here, you have two choices. You can either record audio, which is just your sound, or you can record video, which is both. I'm going to click on record audio, keep in mind you would need a microphone and a video camera for either of these to work. As I click on record audio, you'll notice that I get a little icon in my page representing where the video or sound file will be located also at timestamp telling me when it starts and notice the new ribbon that says recording..
You'll also see behind how it shows me how long my recording is. So right now it's recording everything that I'm saying. The ribbon will allow me to control the recording, including the ability to pause the recording, stop it. And this also come over and see the audio and video settings. When I finished, I think click on stop and we'll see that the file is here. And if I'd like to go back and listen to it at any time I can hover over it. And when I click on it, it'll give me a toolbar right next to the recording that I can use to play it, or I can come up to the playback ribbon and also use that to play it, to do a video..
It's the same thing, but rather than clicking on insert and record audio I'd select record video and repeat those same steps. So in this case, one note actually becomes both the creator of the video and audio file and the container at the same time, go into a new one note page and try creating your own video and sound files by doing a recording or video of your. Hi, everyone. Welcome back to one note. I now want to be able to create a new page and actually create a drawing on that page. This is another thing that one note does a really great job at..
You can either use your mouse or a stylist. If you have a touch screen to access all the drawing tools, I'm actually going to come up and go to the draw ribbon of one note. I also want to go over and add a new blank page for my drawing. You'll see my untitled page. The title for it will be diagrammed to start using the tools of the dry ribbon. Notice that the left-hand group on this ribbon is about the selection tools on the left or the color of, again, the drawing that you're creating in the middle. There's a shapes dropdown that allows you to create from a pre-made pallet..
Now I want to start by picking the color for my drawing. Notice that this ToolsGroup hasn't dropped down and there are different colors of pens that you can pick from, you need to pick your color first. So I'm going to come in and start with a middle blue color, and then I'm going to come in and pick the rectangle on the shapes gallery. And as I do, I can then take the cross hair and left drag my rectangle out to change the color of the pen. I can again, come in and select a different color this time. I'm going to do a red and select an oval by using again, the shapes gallery..
It helps me to create shapes. It's a lot easier to use these and then free hand them. Now, if I'd like to have, for example, a rectangle I'm again, going to pick another color in this case, a green and then select the rectangle shape and I'll draw it on my screen. Now, after my shapes are drawn, if I would like to move them, or if I'd like to delete them, I can click on it. And I also going to come up and actually turn off the pin tool by clicking on the type button on the far left hand side, this allows me to select shapes without actually drawing..
So what I'm going to do is actually move this shape over to the left. I can also come in and delete a shape I've drawn just by selecting it and then hitting my delete key on my keyboard. If I'd like to try a different shape, I can again, come in, select the pen color, and then select the shape and draw the shape out now to edit a shape after it's been drawn, I'm going to select again, the type button to turn off the pin tool. If I click on the shape, I'll actually see here that I can come in and I can actually adjust the color of the pen that was used to draw the shape, change its color, to add text inside a shape. I'm going to click inside of it. And I can actually type in words..
These are going to be again, text boxes that are just appearing on the page behind. But it is allowing me to, again, enter text inside of the shapes. Now I can also come in and I can actually just draw on the page myself to do this. I'm going to pick again, the type of color that I want and I can just draw, but again, sometimes this doesn't look so great. So if you have drawn on your shape and decide it, doesn't look very nice. There's also a tool called lasso solar. We'll allow you to drag a line around what you've selected in this case..
It's four plus four, which is a math problem. The after I do that, I can come up and there's a button on the ribbon and the far right hand side called ink to math. What this will do is try to see what I've drawn and see if it can correct it for me. And if it can, I can say insert and it will replace it with the correct math. So again, there's lots of opportunities to use the driver of into free hand or create shapes and create a diagram or schematic of your own. So insert a one note notebook page into a notebook of your own and try using the tools on the drawing..
Hi, everyone. Welcome back to one note. I want to show you some tricks when you are free handing notes or shapes in a OneNote notebook page. Now you can try this out by creating these in a OneNote page of your own. I'm coming over into my navigation pane for pages and adding a new page called inking. Inking is actually the tool inside of one note that we will be using. I'm going to go up to my draw and then tab, and I'm going to come over to the convert group and I'm going to make sure that I'm clicking on each to shape..
Then I'm going to come over and select one of the pen tools and I'm going to start by creating a triangle on my page. What's important is I try to make it as clear as possible that it's a triangle and make sure it's enclosed. As soon as I'm done one note looks at the shape and corrects it for me. I'm going to go up again and select another. Of Penn and this time I'm going to try my best to create a circle. Again, one note looks at the shape and where it can, it corrects it. And you'll see there, it created a rectangle and not a circle. And that's because sometimes it does its best to guess..
Let's try it again. This time with a wider kin I'll try to make it more circular and noticed sometimes it works and sometimes it doesn't. If it doesn't work, go up and click on the type tool, click on the shape that's been drawn and delete it and try again. Now you can also do the same thing with text for this. What I'm going to do is I'm going to come in and I'm actually going to draw my text on the page. So again, I'm going to select one of the pen tools and I'm just going to left drag the word..
And I'm using my mouse for this. Remember, I can also use a stylist, then I'll come up and click on the type button to turn my pin tool off. I need to select the word. So on the left-hand side of the draw ribbons, there is a lasso select button will allow me to basically select all the texts that I've drawn inside of itself. And it selects my little free hand high up on the right hand side of the draw ribbon. There is a convert button that says ink to text. This will look at my word and where it can, it will correct it and.
Actually make it into tight text. And it's called ink to text. All of these tools are a little bit objective. Sometimes they work and sometimes they don't, but they're worth a try. If your notes are a little bit messy and you want to make them clear, so go into a OneNote page and try them out on. Hey, everyone.
